Switching managed IT providers

Most businesses that need a new IT provider wait far longer than they should, and it is almost never because they are happy. It is because switching sounds like a disaster waiting to happen. Nobody wants to be the person who moved everything and broke it.

Here is how it actually goes. Before anything is signed there is a fit call and an assessment, so you know what you are running today and we know whether we can genuinely help. If we are not the right fit for your environment, we say so then rather than three months into an agreement. Onboarding is documentation first: what exists, what is licensed, what is out of support, and what nobody has been able to explain for years. Most environments are fully under management in 30 to 60 days.

The part providers tend not to mention is that your outgoing provider may not cooperate. Some hand over admin credentials, documentation, and DNS access without argument. Some go quiet. We plan for both, which turns a difficult handover into a scheduling problem instead of a crisis. What we build for you works the same way in reverse: your environment stays documented the whole time you are with us, and all of it leaves with you if you ever go.

If you are coming off a break-fix arrangement rather than another provider, the switch is simpler and the difference is more obvious. Break-fix pays someone to show up after the outage, which means the provider earns more when things go wrong. Managed IT is a smaller predictable amount to make fewer things go wrong. That is a worse business model for the provider and a better one for you, and it is the reason we run it.

New Jersey is home base. We support businesses from Bergen and Morris down through Middlesex and Union and into Camden, Gloucester, and the shore counties. The work is remote-first because that is genuinely how most of it gets resolved fastest, but on-site is a real option rather than a line in a brochure, and we also cover the New York, Philadelphia, Boston, Pittsburgh, and West Palm Beach metros where we have staff.

The clients this suits are the ones too small to justify a full IT department and too dependent on their systems to leave them alone. Medical and dental practices. K-12 and private schools. Manufacturers and warehouses. Auto dealerships. Law firms, accounting firms, and other professional services. Typically somewhere between ten and a couple of hundred users, usually with one person who has quietly become the IT person on top of their actual job.

For schools and public sector work there are two things worth knowing. We are a registered E-Rate service provider, and we are a registered vendor on NJSTART. Registered vendor is the accurate term and we use it deliberately: it is not the same as holding a state contract, and providers who blur that line are hoping you will not check.

On the on-site question, we would rather be straight than vague. Most issues never need anyone in the building. When something does, we schedule a visit and it is billed separately from your monthly plan, quoted before anyone gets dispatched. Nobody arrives and hands you an invoice you did not agree to.

How big does a business need to be for managed IT to make sense?

There is no hard floor, but the honest answer is that it starts paying for itself somewhere around ten users, and it becomes difficult to justify going without at around twenty five. Below that, a very small office with a handful of laptops and no server can often get by on ad hoc help. Above it, the hours someone in your business is quietly spending on IT stop being invisible. If you are not sure which side of that line you are on, an assessment will tell you, and we will say so if the answer is that you do not need us yet.
